Data we process
When you request a quote or contact us, we process your name, company if applicable, email, optional telephone, destination country, city, postal code, delivery address, requested products, quantities and notes. If you order, we also process invoicing, payment-status, delivery and service correspondence. Hosting and security systems may process IP addresses, timestamps, request information and technical error records. Please do not include sensitive personal information in free-text notes.
Why and on what basis
We use enquiry details to take steps you request before entering a contract and to perform a contract with you. For a business contact representing a company, the corresponding basis is our legitimate interest in handling that company relationship. Accounting and tax records are processed to comply with legal obligations. Security and proportionate abuse prevention rely on legitimate interests in keeping the service reliable. Consent will be sought where a proposed optional use requires it; requesting a quote is not consent to marketing.
Browser features
Your basket, favourites, comparison list and saved project lists are kept in your own browser. Saved lists can include a project name, company, contact name and notes that you choose to enter. Saving a list alone does not email it to us. A quote request sends the submitted enquiry details and selected goods to us. See Cookies & Browser Storage for controls and retention.
Recipients
Relevant data may be shared with hosting and email providers, suppliers fulfilling an order, delivery carriers, payment providers if used, accounting advisers and authorities when legally required. Suppliers and carriers receive information necessary for the relevant task; they may act as independent controllers for some processing. Service providers processing on our behalf require appropriate processing agreements. We do not sell enquiry data for unrelated advertising.
External services
The storefront loads the Manrope font through Google Fonts. A font request can disclose your IP address and technical request information to Google. Manufacturer datasheets and external links open third-party services with their own privacy policies. Product photographs are hosted with the website.
Retention
We keep information only for as long as needed for the purpose for which it was collected, applicable legal obligations or justified legal claims. Enquiry correspondence is retained while your enquiry or the resulting relationship is active and as reasonably needed for follow-up. Order, invoice and tax records follow applicable statutory retention periods. Warranty and dispute records are retained as needed to handle claims. Security records are kept as needed for proportionate abuse prevention and incident investigation. Browser lists remain on your device until removed or browser storage is cleared.
International processing
Hosting, email, external font services and worldwide fulfilment may involve processing outside the EEA. Applicable GDPR transfer requirements depend on the destination, recipient and purpose. Contact info@z7i7.com for information about processing locations and any applicable transfer safeguards, and to request relevant details or copies where available.
Your rights
Subject to the conditions in applicable law, you may request access, correction, erasure, restriction and portability of your personal data, and object to processing based on legitimate interests. If processing relies on consent, you can withdraw it without affecting earlier lawful processing. We may request proportionate identity verification. We normally respond within one month; a lawful extension will be explained. Some records cannot be deleted while legal retention obligations apply.
Complaints and security
Contact info@z7i7.com first if you have a privacy concern. You can also complain to the Dutch Autoriteit Persoonsgegevens at autoriteitpersoonsgegevens.nl, or another competent supervisory authority. We use appropriate organisational and technical safeguards proportionate to the processing. No website or email transmission can be guaranteed completely secure.
Mandatory and optional details
The information requested is used to prepare your quotation or fulfil an order. Without relevant contact and delivery details, we may be unable to do so. Telephone and additional notes are optional. The basket quotation form asks for company details; private customers can contact info@z7i7.com directly to request a quotation. We do not use this workflow for solely automated decisions with legal or similarly significant effects.
Updates
We may update this policy when our services or processing change. Material new purposes will be explained before the relevant processing begins, and consent requested where required.
Catalogue assistant
The Ask Z7 assistant searches our catalogue. Its conversation is kept in page memory until you leave or reload the page. If you choose Send enquiry, your contact details, selected products, additional notes and the most recent 40 conversation messages are sent to our team by email to answer your request. We also send a receipt of your enquiry to the email address you provide. No external AI service receives the conversation. Enquiries follow the contact and quotation handling described in this policy.
